IT Manager (2yrs contract)

To support the director of the Information & Innovation Policy Research Center in building up the center, and to run many of the center’s daily operations
Duties & Responsibilities

· Providing overall operational, planning and development support

· Implement and maintain the Center’s fellows program

· Maintain strategic partnerships with relevant major institutions of learning, policy and research in key countries in Asia and other regions

· Support the research faculty and manage the process of defining and scoping projects of the Center

· Assist in the Center’s budgeting process as well as to support the Director in regular reporting requirements of the Center to its key stakeholders

· To manage and coordinate the visits of Visiting Professors and other visitors

· To coordinate with the LKY SPP’s Corporate Communication Group to establish the brand of I+I and to promote its research and activities to relevant audiences

· To oversee the design and continuing operations of the Center’s web sites

· Organizing conferences/seminars/roundtable discussions (invitations, collation of responses, preparation of conference materials, photocopy reading materials, flight, accommodation, catering, claims etc)

· Setting up and maintenance of contact database

· Assist in the recruitment process (advertisements, applications, arrangement of interviews, flight, accommodation etc)

· Processing of expenses claims

The executive would also be covering the portfolio of the PA to the Director:

· Arrange meetings and appointments

· Prepare meeting files

· Draft replies to correspondence as directed by Director

· Process reimbursement of claim for I+I: Overseas Traveling Expenses, Local Traveling Expenses, Entertaining Expenses, Medical Expenses, Visitors’ Claims (Transportation, Accommodation etc)

· Organise proper filing system

· Maintain and update address book

· Provide hospitality to visitors

· All the above to be done in a most speedy manner and to be very high standards of quality

· Any others ad-hor duties assigned

Requirements (Please state Qualification, Years of Experience, Knowledge & Skills required)

· A tertiary qualification from a recognized university

· At least 2 years’ relevant working experience in a managerial position

· Excellent oral and written and interpersonal skills

· Hardworking, responsible, meticulous, motivated individual

· Proficient in computer use - Word, Excel, PowerPoint, internet searching, etc.

· A strong ability to work independently with little supervision

· A good team player

· Calm, mature and pleasant
