Deputy Director (Administration)

You are responsible for the day-to-day management and administration of President’s Office (PO), including personnel matters and planning and monitoring of the operating budget. You report to Director, President’s Office, and work closely with the managers for science support and events, and admin support staff. You fulfill a coordinating role in liaising with other departments at NTU.

You will supervise the day-to-day affairs in President’s Office, including mail, correspondence, filing and archiving, finance and asset maintenance. You act as the line manager / reporting officer for the support staff in PO’s General Office. You take the lead in preparing the annual budget submission and planning for President’s Office as well as the monitoring and approval of expenditures, including the operating budget. You are responsible for personnel and staff matters, including appraisal and performance evaluation.

You act as the liaison officer to other teams in President’s Office, and to other departments in NTU, such as Human Resources, Finance, Corporate Communication, Development Office, and Alumni Office. You represent, where required, President’s Office in internal university working groups.

You will further develop and implement office and operating procedures, in view of PO’s expanding (strategic and operational) activities. You will draft correspondence, presentations and write ups, in close collaboration with the relevant colleagues, and deal with other tasks as required.

Requirements:

  • A recognised University degree in any discipline
  • At least 8 years of working experience in a similar position, preferably in a university / higher education environment
  • Demonstrable experience in budget preparation and monitoring, and in monitoring, training and supervision of staff
  • Self-motivated, responsible, value-driven and improvement minded
  • Good team player who is able to work in an independent and flexible manner, to multi-task, to set priorities, while liaising on a regular basis with the Director
  • Ability to manage milestones and budgets as well as to work under pressure and with tight deadlines
  • A high level of initiative, a keen eye for details, a can-do and positive attitude
  • Strong (project and people) management skills
  • Good networking abilities and problem solving skills
  • Excellent interpersonal and communication skills with a strong command of English language
